The Google Workspace integration allows you to automatically sync users and groups from your organization’s domain into Substly. It also enables Substly to detect whether a user has signed into a SaaS service using their Google account via SSO — but only through token presence, not detailed activity.
Due to limitations in Google Workspace, Substly cannot retrieve activity logs or detailed usage data. Instead, the integration detects whether a user has an active user token for a connected service — meaning they've signed in via SSO at some point. This does not reflect ongoing or recent activity.
📌 To gain meaningful insights into usage and detect shadow IT, we strongly recommend combining the integration with the Substly Extension, which monitors SaaS activity even when SSO is not used.
Once connected, you choose exactly which users and groups to sync—giving you full control and flexibility.
Why connect Google Workspace to Substly?
✅ Keep your Substly user list in sync – Automatically pull users and groups from your Google domain without spreadsheets or manual work.
✅ Monitor SSO tokens – Identify whether a user has authenticated with a service using Google SSO (via token detection).
✅ Enhance monitoring with the Substly Extension – Combine the integration with the Substly Extension to detect usage even when SSO is not used.
✅ Segment your data – Use synced groups to filter usage and spending data in Substly.
✅ Simplify onboarding – New hires can automatically appear in Substly as soon as they’re added to Google Workspace if you sync groups.
What the integration does
Syncs selected users and groups from Google Workspace to Substly.
Automatically updates your user base as people join or leave your organization.
Detects when users sign in to SaaS services using their Google SSO credentials.
To track actual usage and detect shadow IT, we recommend installing the Substly Extension across your organization.
