This article provides a best practice method for quickly setting up your Substly account

This guide aims to provide you with a step-by-step guide to setting up your Substly account. Follow the upcoming steps to get up and running and quickly populate your account.


  1. Navigate to Substly's website

  2. Select Start your free trial

  3. Sign up either through SSO or company email

  4. Verify your email and fill in the following form with required information

  5. Submit to get started with your account!

  6. Once in your account, start a sync towards Google Workspace or Microsoft Entra ID either from the dashboard or from the integrations page

  7. Select groups, users, and services you wish to import to your Substly account, as detailed in our integrations article

  8. To gain an overview of the imported data, head over to the Users or Services page

  9. Usage data can be gathered both through your AD integration from SSO-based logins, but also through the Substly extension. For a complete overview of usage, both are strongly recommended.

  10. To install the extension, head over to the Substly Extension tab.

    ​Note: The extension only captures relevant usage data from business softwares. Read more about what data the extension captures here

  11. Activate the Substly extension and select which employees you wish to send the extension to. Follow the steps in the built-in workflow to install the extension.

  12. Usage tracking is now enabled and can be tracked through the Usage tab. New services and shadow IT will be presented here, and can also be tracked through your AD integration as described in this article.

  13. Done! Your account is up and running and should provide you with a complete overview of your services, users, and usage.

For your next steps in Substly, we recommend inviting coworkers to your account that may need access. Navigate to Company & Subscription, then Access Control. Select a User Permission and send an invite by selecting Give Access to any optional coworker. Further details for inviting coworkers to Substly can be found here.
