In Substly, you can easily add financial data using a file import. This is especially helpful when you want to get an overview of actual costs by importing data from your accounting system. The most common format for this is a SIE file.

What is an SIE file?

SIE (Standard Import Export) is a standardized Swedish file format used to securely and efficiently transfer financial data between different systems — for example, exporting accounting data from your financial software and importing it into another tool like Substly. SIE files are widely supported by most Swedish accounting systems, making them a convenient and reliable way to transfer financial data for analysis and tracking.

Why use SIE file import in Substly?

Importing financial data via an SIE file helps you:

  • Get a more accurate picture of your actual software costs

  • Compare planned vs. actual spend

  • Monitor financial trends over time

  • Avoid unnecessary manual input


Step-by-step: How to import an SIE file into Substly

1. Export the SIE file from your accounting system

  • Log in to your accounting software (e.g. Microsoft Business Central, NetSuite, Fortnox, Xero & QuickBooks)

  • Look for an option like Export SIE file (usually under reports or bookkeeping)

    • Make sure to export the file in SIE type 4 or 4i format, as these are the required formats supported by Substly.

  • Choose the right time period (e.g. preferably at least 12 months, to include all annual payments)

  • Save the file locally (usually with the file extension .se or .sie)

2. Log in to Substly

3. Go to the Integrations & Imports section

  • Navigate to Settings > Integrations & Imports

4. Click on “Import via SIE file”

5. Upload your SIE file

  • Select the file you exported earlier

  • Click Upload and wait for the system to process the data

6. Review and confirm

  • Substly will display a summary of the imported data

  • Make sure everything looks correct

  • Confirm to finalize the import


✅ Things to keep in mind

Only one SIE file can be imported at a time.

File format & type: The file must be correctly formatted and must not exceed 10 MB in size. Otherwise, it cannot be properly processed.

Time period: Verify that the SIE file you exported covers the appropriate time period.

Double-check the information: After the file has been imported, carefully review the data to make sure everything is accurate. If you experience issues, reach out to your accounting system’s support to verify the export.

After importing your financial data, go to your Dashboard or Approved Services overview in Substly to see how the actual costs align with your expected spend. This gives you a clearer picture of where your money is going.
