Understanding Substly Extension Statuses

Substly extension's four statuses show whether the extension is installed and active.

There are two ways to install the Substly Extension:

  1. Using Substly’s built-in invite flow

  2. Deploying via an MDM system such as Google Workspace, Microsoft Intune, or a similar platform

Depending on the installation method, the extension status may reflect different things.


Statuses Explained

Regardless of installation method, the Substly Extension can have four statuses:

1. Not Invited

  • Invite Flow: The employee has not yet been invited to install the Substly Extension.

  • MDM Deployment: The extension has not been pushed to the user, or Substly has not yet detected any usage data. This could mean the employee hasn’t used their browser since deployment.


2. Invite Pending

  • Invite Flow: The employee has been invited to install the extension but hasn't yet activated it.

  • MDM Deployment: This status is not used for MDM deployments.


3. Tracking

  • Invite Flow & MDM Deployment: The extension is installed and actively monitoring usage on the employee’s device.


4. Tracking Inactive

  • Invite Flow: The user has either logged out of the extension or the extension is still active, but no usage data has been received for at least four weeks.
    Possible reasons: vacation, parental leave, or not using the device.

  • MDM Deployment: The extension is still installed, but Substly hasn’t received any usage data for four weeks.
    (Logging out is not possible when the extension is pushed via MDM.)

Frequently Asked Questions (FAQ)

Q: Why is an employee still marked as "Invite Pending" after installing the extension?
A: The "Invite Pending" status means the user has not completed activation. Ask them to confirm they have fully installed and signed in to the extension.

Q: What causes the "Tracking Inactive" status?
A: This occurs if Substly hasn’t received usage data for four weeks. In invite-based installs, it may also mean the user has logged out of the extension. Other common reasons include long-term leave or switching devices.

Q: Can the "Tracking" status change back to "Invite Pending"?
A: No. Once the extension is activated, it will only move to "Tracking Inactive" if no data is received for an extended period.

Q: How do we handle users with the "Not Invited" status?
A: Depending on your setup, you can either send an invite through Substly or push the extension via your MDM system.
